Before Apply

What is the international student support system?

As part of our efforts to support international students in their daily lives, we have prepared an ‘International Student Support System.’
For properties to which the ‘International Student Support System’ is applied, you can sign up for a special plan that is different from the regular rate, such as discounts on admission fees and exemption from annual management fees.

*This will be applied automatically if you move into the applicable property.
*Only plans with meals are available. Please note that meal-specific contracts cannot be selected.

Can I choose my contract length?

Although it is possible to specify the contract period, the contract end date is fixed at the 24th of every month for Dormy and the 20th of every month for WID. Additionally, April, May, and September cannot be selected as the contract end months when there are many residents.

Can I sign a contract for less than one year?

It is possible to sign a contract for less than one year, but we may not be able to provide you with a contract depending on the time you move in or the dormitory.

Will the initial cost be lower if the contract is for less than one year?

If you are staying in a dormitory that applies to the International Student Support System: There is no monthly payment. Regardless of the contract period, you will be charged a flat fee.
If you are staying in a dormitory that is not covered by the International Student Support System: Admission fees and annual management fees will be calculated according to the contract period. All other charges will be charged at a flat rate.

What is the difference between long-term contract and short-term contract?

If the contract period is 90 days or more, it is a long-term contract, and if the contract period is less than 90 days, it is a short-term contract.

Can I select my own room?

As this is a student dormitory, you cannot choose your room.

What if no room is available in the dormitory I requested?

We will find and recommend you other dormitories that have available rooms.

 

Post-Application/Contract Procedures

Can I change the contract start date after deciding on a dormitory?

This is possible before the contract start date. If the cost changes due to contract changes, we will bill you additionally or adjust the difference.
Please let us know by email at least one week before you move into the dormitory.

How do I make initial payment? Can I use a credit card?

After receiving the invoice, please transfer the amount in advance so that it reaches your Japanese bank by the specified date. Transfers can be made from both domestic and overseas banks. Please note that fees incurred at the time of payment, such as remittance fees and foreign exchange fees, will be borne by the customer. It is not possible to pay the initial fee by credit card. After moving in, you can use cashless payment by linking your credit card.

What payment methods are available after the first time?

Can I change my payment method during the contract?

Can be changed. Please contact the secretariat.

Can I send my luggage to the dormitory in advance?

We cannot store your luggage in advance, so please send your luggage so that it will arrive after your move-in date.
Also, please be sure to include your room number when shipping your luggage.

Do you offer transport service from the airport to the dormitory?

We are sorry we do not arrange transportation service. Please come directly to the dormitory by yourself.

Can I cancel my application after applying?

Cancellation is possible before the contract deposit is paid.
Please contact the office for cancellations after payment has been made.

About Costs

What is the admission fee?

There is a Japanese custom of paying a certain amount of money to the landlord when renting a home, and this is equivalent to key money in general rentals.
Admission fees are non-refundable.

What is a security deposit?

This is the deposit.
Refunds will be made via bank transfer at the end of the second month following the month in which you move out.
If you cancel your contract in the middle of the contract period, you will be charged a penalty equivalent to the deposit, and the deposit cannot be refunded.

How is the deposit refunded?

Refunds will be made to your designated bank account at the end of the second month after you move out of the dormitory.
After you move out of the dormitory, we will send you a designated form by email, so please provide your bank account details.
If refunding to an overseas account, you will be responsible for the fees.
If there are any remaining fees to be paid, they will be deducted from the deposit, but additional charges will be made for any costs that cannot be offset from the deposit.

What is the annual management fee?

This fee covers one year’s worth of fees for using in-house facilities such as dining, laundry, and public baths, as well as general management fees such as the dormitory manager’s wife and cleaning staff.

Do I have to pay the annual management fee even if the contract is for less than one year?

Please be assured that in the case of a contract of less than one year, we will charge you a monthly amount rather than a full year’s amount.

What is the monthly management fee?

This is one month’s worth of fees for in-house facilities such as dining, laundry, and public baths, as well as general administrative expenses such as the dormitory manager’s wife and cleaning staff.

What is the room cleaning fee? I can clean it myself so I don't have to pay?

For the next customer to use the property, we ask that you pay in advance for cleaning and renovation by a professional.
Please note that if excessive dirt or damage to equipment is found upon departure, additional repair costs will be charged or the deposit will be used to cover the repair costs.
Please note that a room cleaning fee will be charged each time you change dormitory or room.

What is communication equipment cost?

We will charge you a flat fee for the internet equipment (Wi-Fi) installed in your room.
Both Wi-Fi and wired LAN connections are available.
Please note that you will be charged even if you are not using the room for a long period of time, such as when you are temporarily returning to your home country.

About Meals

What kind of meals will be provided?

Meals are Japanese and Western (depending on the dormitory).

Can you offer vegan and vegetarian menus and accommodate allergies?

Because we prepare our meals all at once, we do not offer special menus for vegans, vegetarians, religions, or allergies.
Please note that you are responsible for making your own decisions regarding eating and drinking.

Are meals provided daily?

Meals are provided Monday through Saturday.
[Closed days] Sundays, holidays, the 5th Saturday of the month, 6 days during the summer, 6 days during the year-end and New Year holidays, 7 days at the end of the fiscal year, and training days for our employees.
*Some properties may be different.

In the case of a contract that includes meals, we do not provide refunds for the non-meal period because we charge a flat rate as part of the plan. Please note.

Can I switch to a no-meals contract?

For dormitories to which the International Student Support System applies, only meal plans are available, so there is no separate contract for meals. Therefore, it is not possible to switch to a no-meal contract.
If you live in a dormitory where the International Student Support System does not apply, please contact the dormitory director.
If you are not sure whether the dormitory you are contracting with is eligible for the International Student Support System, please check the fee column on the property page.
If only the price including meals is displayed, the dormitory is eligible for the International Student Support System.

Mid-term cancellation and contract extension (renewal)

Can I renew my contract?

It is possible to extend the contract. We will send you a renewal confirmation approximately two months before the contract expires.
The renewal period is 3 months or more and less than 1 year. However, April, May, and September cannot be selected as contract end months.

Do I need to pay a renewal fee when renewing my contract?

It is not necessary for dormitories that apply to the International Student Support System.
If the dormitory does not apply to the International Student Support System, a renewal fee equivalent to 70% of the admission fee will be charged.

I need to leave the dormitory before my contract terminates. How can I request an early termination of my contract?

First, please notify the dormitory director, fill out the necessary information in the ‘Notification of Moving Out’, and submit it to the dormitory director by the month before you move out.
If you leave the dormitory midway without applying more than one month in advance, you will be required to pay a penalty equivalent to one month’s dormitory fee.
Please note that if you leave the dormitory early, the initial fee and security deposit already paid cannot be refunded.
An additional charge will be made if any repairs or items are found during the room inspection when you move out.

Is there anything I should do before I move out?

Please be sure to pay the invoiced fees by the date you move out. If you have unpaid fees, you will not be able to proceed with the move-out procedure.
As soon as you have decided on your move-out date, please notify the dormitory director. Please organize your belongings and clean your room by the day before you move out, and on the day you move out, check the status of your room in the presence of the dormitory manager.
If there are too many items left in the room, additional cleaning fees will be charged, so please do not leave unnecessary items or trash in the room.

Etc

When does a penalty charge apply?

This occurs when the contract is canceled during the contract period. The penalty will be applied from the security deposit as the amount equivalent to the security deposit (50,000 yen) will be charged.
If significant dirt or damage to equipment is found when checking the room when you move out, you will be charged a separate repair fee.

Can I transfer to another dormitory?

It is possible to move dormitory if a room becomes available.
We do not accept waitlists, so please inquire about availability each time.

Can I bring friends or family to the dormitory? Can I stay overnight?

Visits from same-sex family members and friends are possible with prior application to the dormitory director.
Regarding lodging, with the exception of some dormitories, same-sex family members and friends (up to one person) can stay in your room for a maximum of 2 nights and 3 days.
Please note that additional charges will apply if bedding and meals are required.
In some cases, due to agreements with partner schools, visits and overnight stays by non-residents are prohibited, and some properties allow only same-sex families to stay.
Please be sure to read the explanation when you move into the dormitory.

What should I do when I sleep over or leave my room for a long period of time?

If you wish to stay overnight, please use the resident app ‘Domico’ to apply for a sleepover. There is no limit to the number of days you can stay overnight.
If your dormitory does not have the resident app ‘Domico’ installed, please contact the dormitory manager.
If you will be away from your room for a long period of time, we can issue you several months’ worth of invoices in advance to avoid delays in paying your dormitory fees. If you are interested, please contact the office.
Please note that if your payment is delayed for more than two months, we will assume that you are unwilling to pay and will ask you to leave the dormitory.

Can I share a room with a friend?

All rooms will be private rooms. You cannot share your room with anyone.

Is there a cleaning duty?

None. Common areas are cleaned by professional staff.
Please clean your room by yourself. We have vacuum cleaners available for rental.
